INSTRUCTIONS FOR AUTHORS
For the ECAI-2025 conference, papers are loaded using the EasyChair platform. You need to create an account on the EasyChair platform (it's free) and load the papers.
Steps to follow (authors will receive appropriate message for each step):
1. Upload the paper (.pdf) and word paper (not for the papers using Latex template)
2. the paper will be reviewed
3. the paper will be revised by author and the revised paper (with colour text highlighting the changes) and the punctual response to the reviewers will be uploaded to EasyChair.
4. 2nd review

The paper will be rejected or provisionally accepted.
If the paper will be provisionally accepted, then the PID and fee payment can be made by the author and uploaded to EasyChair
If yes/no (PID and fee payment done), the paper will be accepted/rejected, respectively.
If paper will be accepted, then will be included in the IEEE proceeding and the author receive a message
Please note that:
If applicable, you will be required to submit a new version of the manuscript revised as recommended to enable us to submit this paper for publication in the ECAI proceedings. Paper and PID revisions must be submitted by June 15, 2025, following the steps above.
The ECAI Conference is committed to upholding the highest standards of academic integrity and research ethics. All participants – authors, reviewers, and members of the scientific committee – are expected to adhere to the following principles:
● Originality and Plagiarism
Submitted papers must be original, unpublished, and must not contain copied or reused content without proper citation. Plagiarism, including self-plagiarism, is strictly prohibited and will be checked using specialized software.
● Double Submission
Simultaneous submission of the same work (or substantially similar versions) to multiple conferences or journals is strictly forbidden. This practice violates IEEE policies and, if identified, will result in the rejection of the submission and notification of the other venues involved.
● Proper Authorship Attribution
Only individuals who have made significant scientific contributions to the conception, execution, analysis, or writing of the paper should be listed as authors. Guest authorship and ghost authorship are not acceptable.
● Confidentiality and Fair Peer Review
The review process is double-blind. Reviewers must treat all submitted materials as confidential and evaluate them objectively, without any conflict of interest.
● Use of AI Tools
AI tools (e.g., ChatGPT, Copilot) may be used for writing assistance only, not for generating scientific content. The final manuscript is the sole responsibility of the authors. AI tools must not be listed as authors or cited as sources.
● Ethical Compliance in Research
Research involving human subjects, sensitive data, biological materials, or animals must comply with relevant national and international ethical regulations. Authors must disclose the approval from ethics committees and informed consent when applicable.
● Misconduct and Sanctions
Any suspected ethical misconduct will be investigated by the ECAI Ethics Committee. Sanctions may include paper rejection, withdrawal from IEEE Xplore®, notification of affiliated institutions, and exclusion from future editions of the conference.

The Organizing Committee of the ECAI International Conference would like to emphasize the strict policy regarding the withdrawal of papers by authors after the peer review stage. In order to maintain scientific integrity and mutual respect within our community, please consider the following:
CONFERENCE TOPICS: The papers submitted for the conference program should concern one of the following topics (other related topics are welcome):
REGULAR PAPERS
These are requested in all areas consistent with the conference topics. Authors are asked to submit their original work by uploading it on the conference website the full papers of 10 pages* length in electronic form.
Authors are requested to clearly point out - at paper submission and e-mail correspondence, the name of the topic to which their paper is submitted to (e.g., Environmental issues).
* extra payment, beyond 10 pages, will be €10/ two extra pages, but no more than 20 pages/paper.
** Papers with an initial score of less than 2.5 (major revision) will be scheduled in the poster section if will be properly revised
